Manage organization billing and seats
Organization billing lets an administrator buy Bearly seats for organization members. Each seat has its own Pro, Analyst, Research, or Max plan, while the organization uses one payment method, invoice history, billing interval, and renewal date.
Only organization administrators can open Billing or change seats. If the tab is not present, either you are an organization member or the organization’s plan is provided through another arrangement. Ask an organization administrator or Bearly Support before starting a separate subscription.
Start organization billing
Section titled “Start organization billing”The first purchase creates a billing account for the organization. It does not use, change, or cancel an administrator’s personal subscription.

Open your account menu and follow Organizations → your organization → Billing.

Choose Monthly or Yearly · 2 months free. The first completed purchase fixes that interval for later seats on the organization account.

Select Pro, Analyst, Research, or Max, then set the number of seats.

Select Start checkout and complete the organization purchase in the billing page that opens.

Return to the organization’s Billing tab. The Subscription card shows the account status, seat count, renewal date, and next invoice. New seats appear under Seats as ready to assign.
If you leave checkout before finishing, reopen Billing and retry the purchase. Bearly identifies an incomplete first checkout instead of treating it as an active subscription.
Assign a seat
Section titled “Assign a seat”One teammate can hold one active organization seat.
- Under Seats, find an open seat and select Assign.
- Choose a teammate. Use Search teammates… to find someone by name or email when they are not already listed.
- Select the teammate to assign the seat.
The seat row shows the teammate’s email and plan after the assignment finishes. Someone who already holds a seat is marked Already has a seat and cannot be selected again.
Add more seats
Section titled “Add more seats”Select Add seats, choose the plan and quantity, then select Add seats again. All new seats use the billing interval fixed by the organization’s first purchase. Bearly may open checkout or payment setup before the seats appear.
Open seats with the same plan are grouped together. Organizations with more than 20 active seats also get Search seats… for finding a holder, plan, or ending seat.
Move or unassign a seat
Section titled “Move or unassign a seat”Open the Seat actions menu beside an assigned seat:
- Move seat transfers the seat to another teammate. Confirming the move removes the previous holder’s access from that organization seat immediately. The plan and organization billing date do not change.
- Unassign removes the current holder immediately and keeps the paid seat open for another teammate.
Moving or unassigning a seat does not change either person’s personal Bearly subscription.
Change a seat’s plan
Section titled “Change a seat’s plan”Open Seat actions and select Change plan. The confirmation explains when the change takes effect:
- An upgrade takes effect immediately. The holder receives the additional credits, and the organization is charged the prorated difference.
- A move to a lower plan is scheduled for the next renewal. The seat row shows the next plan until then.
- Selecting the current plan cancels a scheduled plan change.
Changing one seat does not change the other seats on the organization account.
End or reinstate a seat
Section titled “End or reinstate a seat”Select End at renewal from Seat actions to stop a seat from renewing. The holder keeps the seat through the current billing period, and the row shows its end date.
Before that date, open Seat actions and select Reinstate to keep the seat active and renewing.
Manage payment and invoices
Section titled “Manage payment and invoices”The Subscription card includes Payment method and Invoices. If the account becomes past due, select Fix payment. Organization-seat access is blocked until the open invoice is paid, although a holder may still have access from a separate personal plan.
If a seat action is unavailable
