# Manage team billing and seats

> Start a team billing account, buy and assign seats, change seat plans, and resolve payment issues.

Team billing lets an administrator buy Bearly seats for accepted team members. Each seat has its own Pro, Analyst, Research, or Max plan, while the team uses one payment method, invoice history, billing interval, and renewal date.

Only team administrators can open **Billing** or change seats. If the tab is not present, either you are a team member or the team's plan is provided through another arrangement. Ask a team administrator or Bearly Support before starting a separate subscription.

## Start team billing

The first purchase creates a billing account for the team. It does not use, change, or cancel an administrator's personal subscription.



1. Open your account menu and follow **Teams** → your team → **Billing**.

2. Choose **Monthly** or **Yearly · 2 months free**. The first completed purchase fixes that interval for later seats on the team account.

3. Select **Pro**, **Analyst**, **Research**, or **Max**, then set the number of seats.

4. Select **Start checkout** and complete the team purchase in the billing page that opens.

5. Return to the team's **Billing** tab. The **Subscription** card shows the account status, seat count, renewal date, and next invoice. New seats appear under **Seats** as ready to assign.



If you leave checkout before finishing, reopen **Billing** and retry the purchase. Bearly identifies an incomplete first checkout instead of treating it as an active subscription.

## Assign a seat

One accepted teammate can hold one active team seat.

1. Under **Seats**, find an open seat and select **Assign**.
2. Choose a teammate. Use **Search teammates…** to find someone by name or email when they are not already listed.
3. Select the teammate to assign the seat.

The seat row shows the teammate's email and plan after the assignment finishes. A pending invite cannot receive a seat. Someone who already holds a seat is marked **Already has a seat** and cannot be selected again.

## Add more seats

Select **Add seats**, choose the plan and quantity, then select **Add seats** again. All new seats use the billing interval fixed by the team's first purchase. Bearly may open checkout or payment setup before the seats appear.

Open seats with the same plan are grouped together. Teams with more than 20 active seats also get **Search seats…** for finding a holder, plan, or ending seat.

## Move or unassign a seat

Open the **Seat actions** menu beside an assigned seat:

- **Move seat** transfers the seat to another accepted teammate. Confirming the move removes the previous holder's access from that team seat immediately. The plan and team billing date do not change.
- **Unassign** removes the current holder immediately and keeps the paid seat open for another teammate.

Moving or unassigning a seat does not change either person's personal Bearly subscription.

## Change a seat's plan

Open **Seat actions** and select **Change plan**. The confirmation explains when the change takes effect:

- An upgrade takes effect immediately. The holder receives the additional credits, and the team is charged the prorated difference.
- A move to a lower plan is scheduled for the next renewal. The seat row shows the next plan until then.
- Selecting the current plan cancels a scheduled plan change.

Changing one seat does not change the other seats on the team account.

## End or reinstate a seat

Select **End at renewal** from **Seat actions** to stop a seat from renewing. The holder keeps the seat through the current billing period, and the row shows its end date.

Before that date, open **Seat actions** and select **Reinstate** to keep the seat active and renewing.

## Manage payment and invoices

The **Subscription** card includes **Payment method** and **Invoices**. If the account becomes past due, select **Fix payment**. Team-seat access is blocked until the open invoice is paid, although a holder may still have access from a separate personal plan.

> **Note — Personal plans remain separate**
> Bearly uses the higher of a person's active personal plan and team seat; their allowances are not added together. Nothing is canceled automatically. When a team seat makes an eligible web-purchased personal plan redundant, the holder can open **Settings** → **Billing** and select **End personal plan** to schedule that subscription to end at its own period boundary. App Store subscriptions remain managed through the iOS app.


## If a seat action is unavailable

| What you see | What to do |
| --- | --- |
| No **Billing** tab | Confirm that you are a team administrator. If the team already receives a plan through another arrangement, contact Bearly Support instead of starting self-serve billing. |
| A teammate does not appear | Confirm that they accepted the team invitation and do not already hold an active team seat. |
| A different monthly or yearly interval is unavailable | The team's first completed seat purchase fixed the interval for the account. |
| **Payment is past due** | Select **Fix payment**. Seat access returns after the open invoice is paid. |
| **Unable to load team billing** | Check your connection and reopen **Billing**. If the message continues, contact `support@bearly.ai` before retrying a purchase. |
