# Set an organization access banner

HTML: [https://bearly.ai/docs/teams/access-banner/](https://bearly.ai/docs/teams/access-banner/)

> Require organization members to accept a custom message before using Bearly.

An access banner shows organization members a message they must accept before they can use Bearly. Only an organization **Admin** can configure it.

## Configure the banner

1. Open your account menu and follow **Organizations** → your organization → **Overview**.

2. Find **Access banner** and select **Configure**.

3. Turn on **Show access banner**.

4. Enter the **Heading** and **Message (Markdown)** that members should see.

5. Set the **Accept button text**. The default is **Accept & Continue**.

6. To give members a way to leave without accepting, turn on **Let members sign out**. This adds a **Sign out** button; its text and action cannot be changed.

7. Choose a **Frequency**:

   - **Session** — once each time the app or browser is opened.
   - **Daily** — once every 24 hours after acceptance.
   - **Weekly** — once every 7 days after acceptance.

8. Review the preview as you edit. Select **Open preview** to see the full banner.

9. Select **Save banner**.

Bearly confirms with **Access banner saved**. The collapsed setting shows **Enabled** and the selected frequency.

> **Note**
> Acceptance is remembered separately in each browser or app installation. A member may be asked again after switching devices, using another browser, or clearing local app or browser data.

## What members see

The banner appears before Bearly can be used. A member must select the accept button to continue. If **Let members sign out** is on, they can select **Sign out** instead.

Saving changes to an enabled banner creates a new version. Members are asked to accept the updated banner even if their previous acceptance would otherwise still be current.

## Edit or turn off the banner

Return to the organization's **Overview**, find **Access banner**, and select **Configure**.

- To change the banner, edit its settings and select **Save banner**.
- To discard unsaved edits, select **Discard changes**.
- To stop showing the banner, turn off **Show access banner** and select **Save banner**. The collapsed setting then shows **Off**.

If **Save banner** is unavailable, add a heading and accept-button label, and add a message before turning the banner on. The heading can contain up to 120 characters, the accept-button label up to 80 characters, and the Markdown message up to 20,000 characters.
